About this download

A work hours tracker for hourly jobs: log each shift with clock in, clock out and breaks (overnight shifts too), and the sheet adds up regular hours, overtime and estimated pay for the week and the pay period. Enter your pay stub numbers to check your paycheck, and keep your PTO and sick time balance in the same file. Up to 3 jobs, each with its own rate.

IMPORTANT

Developed for Google Sheets. An Excel file is included for the latest Microsoft 365 (Office 365 Desktop App). Older Excel versions may not support all features.

Quick setup: open the Start Here PDF, make your own copy, enter your jobs and pay period.

WHAT'S INSIDE

  • Start Here: quick setup, the color key and how overtime is worked out.
  • Dashboard: this week, this pay period, year to date, PTO and sick hours left, a 12 week hours chart and a by job summary.
  • Time Log: 1,000 rows for shifts with clock in, clock out and unpaid break minutes (overnight shifts too), plus PTO and sick days; hours, regular, overtime and estimated gross fill in.
  • Weekly: 52 weeks with hours worked, regular, overtime, leave (PTO and sick) hours and estimated gross for all jobs, plus hours and estimated gross for each job.
  • Pay Periods: 60 weekly, biweekly or semimonthly periods with expected hours and estimated gross; enter your pay stub hours and gross to see the difference and a Check this flag.
  • PTO and Sick: hours earned, used and left for each pay period.
  • Setup: your name, up to 3 jobs with their own hourly rate and overtime multiplier, overtime rule, week start day, pay period type, PTO and sick settings, palette and currency label.
  • Example: a filled example with invented shifts to show how it works. Your own entries go in the other tabs, so the example never changes your numbers.

Overtime: pick Weekly over 40, Daily over 8 + weekly over 40 (no hour counted twice) or None. Overnight shifts count on the day you clocked in.
